Privacy policy

eDocket is operated by Faspro, LLC, a Texas limited liability company. This policy explains what we collect when you use edocket.app and app.edocket.app, why we collect it, who we share it with, and the choices you have.

We are the controller of the personal information described here.

Information you give us

• Account details: name, email address, password, and business or display name.
• Business and property information: entity details, addresses, property descriptions, job details, business activities, and similar facts needed to determine what permits apply.
• Client records, if you use eDocket to manage permits for other people. Where you enter someone else's information, you are responsible for having the right to do so.
• Documents and attachments you upload, and the content of prepared filings.
• Messages you send us, including support requests.

Information collected automatically

• Usage data: pages and features used, actions taken, and timestamps.
• Device and connection data: IP address, browser and device type, and operating system.
• Session data: sign-in times, IP address, user agent and last-seen time. We use this to enforce one active session per account and to detect account sharing.

Payment information

• Payments are processed by Stripe. Stripe collects and holds your card details directly. We do not receive or store your full card number. We receive limited information such as the card brand, last four digits, expiry, billing country and subscription status.

• To provide the Service: determine which permits apply, prepare forms, track renewals and deadlines, and send reminders.
• To create and administer your account, authenticate you, and enforce one active session per subscription.
• To take payment, manage your subscription and trial, and prevent repeat-trial abuse.
• To send service messages you cannot opt out of while you hold an account, such as billing notices, security alerts and material changes to terms.
• To provide support and respond to you.
• To secure the Service, investigate suspected sharing, fraud or abuse, and enforce our terms.
• To improve accuracy, coverage and reliability, including in aggregated and de-identified form.
• To comply with legal obligations.

We do not use your permit or business data for advertising.

The Service uses AI models to interpret what you describe in plain language and to help assemble filings. Information you enter may be sent to AI model providers acting as our processors for that purpose.

Two limits are worth stating plainly:

• Determinations are not made by a language model alone. They run against a recorded rulebook of jurisdiction rules; AI helps interpret your situation and assemble documents.
• We do not permit our AI providers to train their models on your content. Where a provider offers a zero-retention or no-training configuration for business use, we use it.

Where information is particularly sensitive, we route processing accordingly and, where feasible, use infrastructure we operate ourselves.

We share personal information only as follows:

• Service providers (processors) who help us run eDocket, bound by contract to use it only for us: payment processing (Stripe), cloud hosting and infrastructure, email delivery, error monitoring and analytics, and AI model providers.
• Government authorities, where you direct us to prepare or submit a filing — limited to what that filing requires.
• Legal and safety: where required by law, subpoena or legal process, or to protect the rights, property or safety of Faspro, our users or the public.
• Business transfer: if Faspro is involved in a merger, acquisition, financing or sale of assets, information may transfer as part of that transaction. We will give notice before your information becomes subject to a materially different policy.

We do not sell your personal information, and we do not share it for cross-context behavioural advertising.

We use cookies and similar technologies that are strictly necessary to sign you in, keep your session secure, and remember preferences such as light or dark theme.

We may use privacy-respecting analytics to understand how the site and product are used, in aggregate. We do not use advertising cookies or third-party ad trackers on our marketing site.

You can block or delete cookies in your browser, but the Service will not work properly without the necessary ones.

• Active accounts: for as long as your account exists.
• Cancelled or lapsed accounts: we deliberately retain your dockets, filings and renewal history read-only and indefinitely, so your permit history is there if you return. This is a product decision — permit history keeps its value long after a subscription ends.
• If you ask us to delete: we delete or de-identify your personal information within a reasonable period, except what we must keep for legal, tax, accounting or fraud-prevention reasons, or what exists in routine backups, which age out on their normal cycle.
• Records of filings may be retained where a legal or regulatory obligation requires it.

We use measures appropriate to the sensitivity of the data, including encryption in transit, encryption at rest for stored data, tenant isolation so one account cannot reach another's records, access controls and least-privilege administration, and one-active-session enforcement.

No system is perfectly secure. We cannot guarantee absolute security, and you are responsible for keeping your credentials safe.

If a breach affects your personal information, we will notify you and any regulator as required by law.

Depending on where you live — including under the Texas Data Privacy and Security Act, and comparable laws in other US states — you may have the right to:

• Know what personal information we hold and get a copy of it.
• Correct information that is inaccurate.
• Delete your personal information.
• Obtain a portable copy of information you provided.
• Opt out of sale or targeted advertising. We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of.
• Appeal a refusal. If we decline a request, we will explain why and how to appeal.

Much of this is self-serve inside the Service: you can view, correct and export your account data, and manage billing yourself. For anything else, contact us at the address below. We will verify your identity before acting, and we will not discriminate against you for exercising these rights.

You may opt out of non-essential email at any time using the unsubscribe link. Service and billing messages continue while you hold an account.

eDocket is for adults running a business or managing their own property. It is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.

We operate in the United States and process and store information there. If you use the Service from outside the US, you understand your information will be transferred to and processed in the US, where privacy laws may differ from those where you live.

We may update this policy. If a change is material, we will give notice by email or in the Service before it takes effect. The “last updated” date at the top always shows the current version.
